Privacy Policy — TermVisa
1. Who we are
The termvisa.com website ("TermVisa", "we", "us") publishes a free, sourced, country-by-country database on how common trade terms (Incoterms®) interact with local law. It does not provide legal advice.
The site is operated by the TermVisa team. For any question about your personal information, write to the person in charge named in section 2.
This policy explains, in plain language, what personal information we process, why, who we share it with and how to exercise your rights, in accordance with Québec's Act respecting the protection of personal information in the private sector. It applies to termvisa.com and its English and French pages (termvisa.ca redirects to termvisa.com).
2. Person in charge of the protection of personal information
For any question, request or complaint about your personal information, write to:

3. Information we process
3.1 When you browse the site
- Technical connection data. As with any website, your browser sends our hosting provider, Cloudflare (Cloudflare Workers), the technical data needed to display pages and protect the site: IP address, date and time, page requested, browser and system (user agent) and security data. It is used to deliver the site, protect it against abuse and troubleshoot errors.
- Detailed logs. We have not enabled detailed request logging (Workers Logs) for this site (configuration observed on Oct. 17, 2026).
- Cookieless audience measurement. We use Cloudflare Web Analytics to count visits in aggregate (page views, referrers, countries, device and browser type, page performance). According to Cloudflare, it uses no cookies or local storage and does not track you across sites; the IP address is not stored. We only see aggregate figures.
- Storage in your browser. Our pages set no cookies and use neither local storage nor session storage (observed Oct. 17, 2026).
3.2 "TermVisa" newsletter
The newsletter is not offered yet: no sign-up form is online for now. The paragraphs below will apply once it launches.
- What we collect. Your email address, with your express consent, solely to send you the newsletter. The form is provided by Brevo: your address goes directly to Brevo and is kept in our subscriber list at Brevo. Brevo may also record technical data related to sign-up (for example the sign-up date).
- Open and click tracking. Our newsletters may contain a small invisible image (pixel) and tracked links provided by Brevo. They show whether an email was opened and which links were clicked; according to Brevo, these measurements may be linked to your address and give an estimate of location and device type. We only use them for overall statistics, without targeting you based on your opens. You can avoid this measurement by blocking images in your email software, or end it by unsubscribing.
- Unsubscribing. Each newsletter contains an unsubscribe link; one click is enough. You can also write to the person in charge (section 2).
3.3 When you write to us
If you email us (contact@termvisa.com or info@termvisa.com), we use your address and the content of your message to reply and, where relevant, correct information on the site. These emails are received in a Microsoft 365 mailbox (see section 5). Retention: as long as needed to handle your request and follow up on it, then deleted.
4. Why we use this information
- to display the site and protect it against abuse, fraud and bots; to troubleshoot errors;
- to measure audience in aggregate and improve content;
- to send you the newsletter if you subscribed;
- to respond to your requests.
We do not sell your personal information, we do not use it for targeted advertising and we do not profile you.
5. Who we share your information with
Our providers act on our behalf, under their terms and data processing agreements, and only to provide their service:
- Cloudflare, Inc. (United States): hosting, security and audience measurement. Its sub-processors: https://www.cloudflare.com/gdpr/subprocessors/.
- Microsoft Corporation (United States; Microsoft 365): receipt and hosting of emails sent to our @termvisa.com addresses, including contact@termvisa.com. Emails stored in Canada (Microsoft data residency commitment); occasional access from outside Canada possible for support and security, governed by Microsoft's data protection addendum. Agreement: Microsoft Products and Services Data Protection Addendum (https://aka.ms/dpa).
- Brevo (France; the contracting entity for customers located in Canada is Brevo Inc., United States): sign-up form, subscriber list, newsletter sending and delivery measurement. According to Brevo, its databases are hosted in the European Union (France, Belgium); some sub-processors are located in the United States. List: Annex 2 of Brevo's terms, https://www.brevo.com/legal/termsofuse/.
We may also disclose information where the law requires or permits it (for example, at the request of a competent authority).
6. Disclosure outside Québec
Our providers (Cloudflare, Brevo and Microsoft) operate their services outside Québec. Your information may therefore be processed or stored outside Québec and Canada, including in the United States and in the European Union. These providers process your information under their data protection agreements, only to provide their service to us.
7. Cookies and similar technologies
Our pages set no cookies and use no advertising or tracking cookies. Audience measurement works without cookies. Depending on security settings, Cloudflare may set cookies strictly necessary for security (bot detection); none were observed on our pages on Oct. 17, 2026. If we ever add cookies or technologies that can identify, locate or profile you, those functions will be off by default and we will inform you beforehand.
8. Retention and destruction
We keep information only as long as needed for the purposes stated, then destroy or anonymize it:
- audience statistics: aggregate figures only;
- subscription address and sending data: until you unsubscribe; afterwards, the address may be kept in a suppression list at Brevo so we no longer write to you, for as long as needed for that sole purpose;
- emails received: see section 3.
9. Security
We take reasonable security measures: encrypted connections (HTTPS), restricted access to administrative accounts, collection limited to what is strictly needed. No system is infallible; we handle any confidentiality incident as required by law, including notifying the Commission d'accès à l'information and affected individuals where the incident presents a risk of serious injury.
10. Your rights
Subject to the law, you may:
- access the personal information we hold about you and obtain a copy;
- request its correction if it is inaccurate, incomplete or equivocal, or if its collection, disclosure or retention is not authorized by law;
- withdraw your consent to its use or disclosure (for example, unsubscribe);
- request, in the cases provided by law, that we stop disseminating information or de-index a hyperlink;
- obtain information on how we process your information (categories of persons with access, retention period, contact details of the person in charge).
Write to the person in charge (section 2). We may ask you to confirm your identity. We reply in writing no later than 30 days after receiving your request.
11. Complaints
You may first send us a written complaint (section 2); we will handle it diligently. If you are not satisfied, you may contact the Commission d'accès à l'information du Québec (https://www.cai.gouv.qc.ca). If you live elsewhere in Canada, you may also contact the Office of the Privacy Commissioner of Canada (https://www.priv.gc.ca).
12. Minors
The site is intended for international trade professionals and students. It is not directed at children. We do not knowingly collect personal information from a minor under 14 without the consent of the person having parental authority or the tutor. If you believe a child has sent us information, write to us and we will delete it.
13. Changes to this policy
We may change this policy. The current version is always published on this page with its update date. For significant changes, we will post a visible notice on the site.
14. Language
This policy is published in French and English. In case of discrepancy, the French version prevails.
